Knowledge base

Applies to: StablEdge 0.4.4 and later

A knowledge base stores and searches material. StablEdge offers three kinds, and a text knowledge base can be written right in the desktop app, where the Agent can also search, read, and change it. Select Knowledge Base in the left navigation to open it, and switch kinds at the top.

Three kinds of knowledge base

KindWhere it livesWhat fits in itCan the Agent use it
Text knowledge baseIn the cloud, layered by enterprise, department, and your ownProduct manuals, operating procedures, FAQs, and other material you want the Agent to look up on its ownIt can search and read; changes need your confirmation
Cloud knowledge baseA cloud file library, layered by enterprise, department, and your ownFiles that need sharing, collaboration, and archivingOrdinary files cannot be read
Local knowledge baseThis computerManuals and notes you look up often, searched for paragraphs by keywordCannot be read
For material you need in one chat only, sending it to the Agent as an attachment is simpler; see the input box.

Text knowledge base

Creating a knowledge base and documents

  1. Switch to Text knowledge base and choose the enterprise, department, or your own entry in the directory on the left.
  2. Select New knowledge base and fill in a name. A knowledge base cannot be renamed yet after it is created, so check the name.
  3. Hover over the knowledge base row and select New document. A new document opens as soon as it is created.

Documents are sorted by name. To fix the order, add a prefix such as "01" or "02" before the name. Documents cannot hold other documents; express levels with section headings inside a document.

Reading and editing

  1. Click a document on the left to open it. Click the arrow before a document to expand its sections, and click a section to jump to it.
  2. Select Edit in the top right corner to change the laid-out content directly. Paragraph style in the toolbar sets the current paragraph as a heading, subheading, body, list, code, and so on.
  3. A moment after you stop typing, the document saves itself and Saved shows in the top right corner.
  4. Select Done to save at once and return to reading mode.

For a document you may not edit, the top right corner shows Read-only. You can also select text to highlight it and add a note of your own; notes are kept on this computer only.

Handling save conflicts

If someone else (or the Agent) saved the document while you were editing, StablEdge does not overwrite it silently: it reports "the document was changed by someone else" and shows the other version. You can choose:

  • Overwrite with my version: your content wins;
  • Save as new document: your content becomes a new document, and the original keeps the other version;
  • Discard my changes: switch to the other version;
  • Handle later: close the dialog and leave your changes in the editor.

Searching and organizing

  • Search: type keywords into Search documents and sections; results fall into two groups, Documents and Sections and paragraphs. With several keywords, all of them have to appear for a hit.
  • Index status: a document you just saved takes a moment to be indexed and cannot be found meanwhile; a document whose indexing failed cannot be read by search or by the Agent.
  • Organizing: on a document row you can Rename, Move to another knowledge base, or Delete it. Deleting cannot be undone.
  • Exporting: on a knowledge base row choose Export as Markdown to join the whole knowledge base into one .md file saved on this computer.

Having the Agent consult a text knowledge base

StablEdge does not push knowledge base content at the Agent during a chat; the Agent looks it up when it needs to. The most reliable way is to say so in your question: "check the knowledge base first", "write the conclusion into the knowledge base".

  • The Agent can list, search, and read knowledge bases and documents, and can create a document in a given knowledge base.
  • When the Agent changes document text or renames a document, a confirmation card appears every time, showing the change before and after.
  • The Agent cannot delete or move documents, and cannot create knowledge bases; what it can see follows your account permissions.
  • In Chat mode the Agent does not use the knowledge base. In unattended settings such as scheduled tasks and Remote Control, text changes are always refused.
When you have the Agent write something, say which knowledge base and which document it goes into.

Cloud knowledge base

  1. Switch to Cloud knowledge base and choose the enterprise, department, or your own knowledge base on the left.
  2. Select Upload files to upload files, or New folder to tidy up the directory.
  3. Read-only and Read and write on an item show your permission on it.
  4. A file can be set to Public in enterprise or Private. Public in enterprise opens it inside the enterprise, not to the internet.

Using a cloud knowledge base needs an enterprise administrator to grant you cloud storage permission. A single file cannot exceed 5 GiB.

Local knowledge base

  • Upload: select Upload and pick files. Text, code, PDFs with a text layer, and .docx are supported. Excel, PowerPoint, and older Word files need saving or exporting as .csv, .pdf, or .docx first.
  • Search: type keywords and press Enter; results mark the line they come from. The search method can be Hybrid, Full text, or Semantic; semantic search is not enabled in this version, so only full-text search runs.
  • Updating: the details page is read-only. To update content, upload a file of the same name again to overwrite it.
A local knowledge base keeps only the split text, not the original file. Before you delete an original file, make sure you have kept a copy somewhere else.
